The tenant and the landlord share the responsibility for taking care of the apartment, but the tenant can assess that condition on a daily basis. The tenant is responsible for notifying the landlord of damages or defects in the apartment which the landlord is responsible for fixing. A tenant who neglects his/her reporting duty shall be responsible for the damage caused by the neglect (Tenancy Act § 24). Faults are reported on the tenant pages via an electronic notice of defects form which is directed to the maintenance company for handling. Before filling a notice of defects, check the responsibility chart to see if the tenant or the landlord is responsible for fixing the fault: Responsibility chart / Responsibility chart (exchange students). TYS doesn’t charge the tenant for maintenance or repair work caused by normal wearing or for the required equipment. If maintenance or repair work isn’t deemed to be caused by normal wearing, we’ll follow this charge sheet: Charge sheet. Urgent maintenance work and chargeable door opening outside office hours are handled by the ISS maintenance service 020 515 9268. Contact only in emergencies outside the office hours. Don’t call if your issue can wait until the next working day morning.
When a tenant submits a fault report, this constitutes a maintenance call. Maintenance work during the week is carried out at 8AM – 4PM. You can follow the handling process of your notice of defects on your tenant page. A notice about the maintenance visit will always be left in your apartment if you’re not at home during the visit.
The notice of defects allows you to choose whether the maintenance work may be done by using a master key or if a visit should be arranged with you separately. In general, the work can be done quicker if you allow a master key to be used. In such cases, no time is wasted by trying to contact the tenant and schedules don’t have to be arranged. Maintenance men always ring the doorbell before entering the apartment. Should you choose the option ‘Call me before the visit’, remember to check if the maintenance man has tried to contact you by phone and call him back when necessary. Please note that should the maintenance man not be able to reach you, the fault report will expire as having been left unresolved.
Repair work ordered by TYS
The tenant is informed of other maintenance and repair work to be done in the apartment two weeks in advance, and bigger renovations are announced at least six months in advance (such as land improvement). If the procedure in question is urgent and it can’t be postponed without causing damage, it may be carried out without prior notice. When you move into a TYS apartment, please note that it’s possible that the previous tenant and/or the apartment inspector have done notice of defects to your apartment, which will be handled after your move – of such notice of defects the new tenant won’t be notified separately. Please contact the service desk to check whether such notices have been done to your apartment.
As the landlord, TYS has the right to access the apartment in order to assess its condition together with the tenant at an agreed-upon time. The tenant must let a TYS representative into the apartment without delay at an appropriate time.
ISS Palvelut Oy handles the property and outdoor areas maintenance for nearly all TYS housing locations. Greenery services are handled by VL-Yhtymä Oy. In Varissuo, Akseli Kiinteistöpalvelut handles the property and outdoor areas maintenance for Aamurusko and Iltakajo. For Auringonnousu and Ironside, outdoor areas maintenance is handled by Haritun Huolto Oy.
Our maintenance service takes care of general building maintenance. TYS also has its own repairmen who do minor repairs. When necessary, TYS employs third party service providers as well.
The tenant must notify the landlord if he/she spots pests in the apartment. It’s always better to submit a report even if there’s no apparent need for pest control. There are many different kinds of pests, and not all require pest control – in turn, the tenant is responsible for controlling part of them (such as clothes moths). If you’re unsure of the type of pest in your apartment, write a notice of defects to be certain. In your fault report, describe the spotted insect etc. as accurately as possible along with its habits (if it emerges at night etc.) If possible, attach a photo of the insect you found to the notice of defects or close it in a bottle, for instance. TYS employs professionals as its partners and takes all pest suspicions seriously.
Notice that the landlord is not responsible for possible damages to the tenant’s movables that are caused by pests. Instead, pest control is free of charge for the tenant, provided that the apartment is in clean condition and that the tenant follows the instructions given by TYS and a pest controller.
