When you want to give a notice of defect form, log in on the tenant pages and choose Services for tenants and Notice of Defects (see picture below)
Note: Wait until the site finishes downloading the needed components before you click on to a new report. On the left on the foot you can see when the site is downloading components (see picture above). If you click a new report too soon, the form will not necessarily get downloaded.
When the heading ”Own notices” appears, the system is ready for registering a new report. Choose ”New Notice” (see picture below) and the form automatically seeks the details of your apartment by default.
Notice of Defects form concerning one’s own apartment
If the notice of defect concerns your own apartment, you don’t have to change the default details the form has sought. On the right edge you can see instructions for filling in the fields (see picture above).
Fill in the title (mandatory information), and as precise a description of the defect as possible (mandatory information). The more precise the description, the better the service can prepare for a maintenance visit and the defect can be dealt with by one visit.
In the menu Entry (picture below) by choosing ”Master key” you accelerate the handling of the issue. If you choose ”Call me before the visit”, TYS will try to reach you. If in a case like this the service man can’t reach you, your defect report will fizzle without being dealt with.
In the menu Domestic animals (see picture below) you have to report possible pets in the apartment for this affects the work of the service men.
If you so wish, you can add attachments to a defect report, for example an image file. When you have registered the needed information, press Send (see picture below) and wait until the system announces successful saving.
Note: If you by accident click outside the edges of the form, the report window closes down. However, the information given isn’t removed, but the filling-in is still finished when you click ”New report” again.
Defect report concerning common premises/yard areas
You can give a general notice of defect, for example concerning a staircase, yard area, sauna, washroom etc , the premises which belong to the address in the blue background. If the facility you like to report has a different address, make a report concerning your own apartment and precisely register the details of the facility in the report.
When you have registered the information needed, finally click ”Send” at the foot of the report. Wait until the system announces successful saving.
Appearance of a notice of defect report on tenant pages after sending
After saving the report appears under the heading ”Own reports”. By clicking the line you can see the more precise information.
The state of the report is ”Open” until the service starts dealing with it. After this the state the report is ”Received”. The service sets a date for carrying out the taskt (usually within some days), which can be seen in the spot date of execution. When the service has dealt with your report, the state moves to the state ”Finished” and possible commentaries can be seen in the field ”Measures taken”.
If you want to change your report or withdraw it, please contact the service desk. Be sure to remember to also inform the service desk about the number of your notice of defect report – it accelerates the handling of it.
